A letter arrives on Monday. The invoice inside is dated the previous Wednesday, payment terms are “net 30,” and three weeks later the supplier insists the clock started on Wednesday. Your accounts payable clerk says it arrived Monday. Without a mark on the paper, it is one person’s memory against another’s.
That is the entire reason the RECEIVED date stamp has survived every wave of office automation. It records when this document reached us—a different fact from the date printed on the document—and it does so in the one place nobody can lose: on the document itself.

Why Date Stamps Still Matter
A date stamp does three jobs, and each one matters more than it first appears.
- Proof of receipt. The received date—not the document date—usually starts payment terms, response deadlines, and complaint windows. A stamped date settles “when did you get it?” without a debate.
- Deadlines and cutoffs. Courts, tender boards, registries, and HR departments work to hard deadlines. A dated FILED or RECEIVED mark shows whether a submission was on time.

Digital workflows have not removed the need—they have moved it. A scanned or emailed PDF still needs a visible received date for the person who opens it six months later, long after the email metadata is out of reach.
The Common Date Stamp Types
RECEIVED (with date + initials)
The workhorse. A RECEIVED stamp should carry three pieces of information:
- The word RECEIVED (often with the department or company name).
- The date the document arrived.
- A line for the initials of the person who logged it.
Initials matter more than people expect. When a date is questioned, the first follow-up is always “who received it?” A stamp with an initials line answers that in the same action.
FILED / ENTERED
Used once a document has been recorded in a system—a case file, a ledger, an HR record, or a document-management folder. FILED is common in legal and government offices; ENTERED is the accounting equivalent, confirming an invoice has been booked. These stamps often add a reference field: a case number, batch number, or GL code.
PAID + date, APPROVED + date
Status words become audit records only when they carry a date. APPROVED with a date shows when authorization happened; PAID with a date and payment reference shows when the obligation was closed. A status stamp without a date is just a label.
Date-and-Time Stamps for Legal & Court Intake
Where the cutoff is a time of day—court filing windows, tender submissions, same-day deliveries—offices use a date-and-time stamp. Traditionally this was a mechanical time clock that printed OCT 06 2026 14:35. Digitally, it is simply a second line under the date. Use a 24-hour clock to remove any AM/PM ambiguity.
Note: Court and agency filing rules differ by jurisdiction and are set by the court or authority itself. Where official e-filing is used, the system’s own electronic timestamp is the record of filing—a stamp image on the PDF is a visible convenience, not a substitute. Check the clerk’s or agency’s published filing rules.
Choosing a Date Format: ISO vs US vs EU
The format question sounds cosmetic until someone reads the wrong day. 10/06/2026 is October 6 in the United States and 10 June in most of Europe, Asia, and Latin America. On a contract deadline, that is a four-month mistake.

Our recommendation:
- If documents cross borders or end up in a database, use ISO 8601 (
YYYY-MM-DD). It is the international standard, it cannot be misread, and files sort in date order automatically. - If your staff or clients find ISO unfamiliar, use a spelled-out month (
06 OCT 2026). It is just as unambiguous and is what most rotating rubber daters print. - Avoid all-numeric formats like
10/06/26with two-digit years on anything legal or financial.
Whichever you choose, pick one and use it everywhere. Consistency is what makes a stack of stamped documents easy to audit.

Adding a date to an existing seal or approval stamp |
For physical stamps, the rectangular band is usually about 50 × 20 mm and round dated seals around 38–45 mm. On screen, keep the date at least as large as the status word’s secondary text so it stays readable when a PDF is printed or scanned. Color conventions help too: red for RECEIVED and REJECTED, blue for FILED and APPROVED, green for PAID. Red and blue also make it obvious at a glance that the mark is an original stamp rather than part of a black-and-white photocopy.
How to Create and Apply a Date Stamp to PDFs in 60 Seconds

Where to place it: top margin or upper-right corner, clear of amounts, signatures, barcodes, and reference numbers. Never stamp over a figure someone will need to read later.

The honest point about both: a date stamp records what someone claims, not what a machine verified. A rubber dater can be set to any day, and so can a digital one. What makes either trustworthy is process—stamping on arrival, initialing, and keeping a log.
When you need a date that cannot be disputed, pair the visible stamp with a certificate-based digital signature with a trusted timestamp, or rely on the timestamp from your e-filing or document-management system. The stamp tells a human reader what happened; the signature or system log proves it.
Final Thoughts
A good date stamp answers three questions at a glance: what happened, when, and who did it. Choose a format that cannot be misread—ISO 8601 or a spelled-out month—use the same layout and position every time, and add initials. Those small habits are what make a stamped date hold up when someone challenges it.
