If you sign the same delivery notes, purchase orders, or school certificates fifty times a day, you’ve probably wished you could just stamp your signature. Rubber facsimile stamps have existed for over a century for exactly that reason. Today most signing happens on PDFs and Word files, so the modern version is a transparent signature image you can drop onto any document.

This guide covers what a signature stamp is, when it’s acceptable (and when it isn’t), how to capture and clean up your handwriting, how to combine it with a company seal in our free Stamp Studio, and how to keep a copyable image of your signature from being misused.

Not legal advice: Whether a stamped signature is accepted depends on the document, the jurisdiction, and the recipient. When a document says “original signature” or “wet ink”, a stamp won’t do.

What is a Signature (Facsimile) Stamp?

A facsimile signature stamp reproduces a person’s handwritten signature. It comes in two forms:

Type What it is Typical users
Physical rubber / self-inking stamp A laser-engraved rubber die made from a scan of the signature Accounts payable, school offices, clinics, logistics desks
Digital signature stamp A transparent PNG or SVG of the signature placed on PDFs and Word files Remote teams, freelancers, managers approving documents on screen

Both do the same job: they save the signer from writing the same mark hundreds of times. Neither, on its own, proves who applied it. That’s the key difference from a cryptographic digital signature, which we cover in digital signatures vs digital stamps.

A signature stamp is also different from a company seal. The signature represents a person; the seal represents the organization. Many countries expect both on the same document, which is why combining them is so common (see below).

When Signature Stamps Are and Aren’t Acceptable

The general rule in the US (and in many common-law countries) is that a signature is any mark a person adopts with the intent to authenticate a document. The US Uniform Commercial Code defines “signed” that broadly, and the ESIGN Act and UETA give electronic signatures, including images, the same effect as ink for most commercial transactions. So a signature stamp you authorised is usually as binding as your pen.

Usually fine:

  • Internal approvals, purchase orders, and expense sign-offs
  • Delivery notes, receiving slips, and packing lists
  • Routine business letters and acknowledgements
  • School certificates, attendance letters, and report cards (where the institution allows it)
  • Invoices and quotations that you send yourself

Usually not acceptable (check first):

  • Medicare and many insurer medical records: CMS does not accept stamped signatures on medical records except in narrow, documented disability cases. See our doctor & clinic stamp guide.
  • Prescriptions for controlled substances: US DEA rules require a manual signature on paper prescriptions (or a certified e-prescribing system).
  • Notarial acts: notaries sign by hand; a stamped notary signature typically invalidates the act. See notary stamp vs notary seal.
  • Wills, deeds, and powers of attorney: most jurisdictions require a handwritten signature with witnesses or a notary.
  • Court filings, tax returns, and government forms that specify “original” or “wet” signatures.
  • Bank mandates and cheques, unless the bank has a facsimile signature agreement on file.

The second rule is just as important: only the signer, or someone they explicitly authorised, should apply the stamp. A stamp applied without authority is not your signature; it’s forgery, whether it’s rubber or pixels.

Capture: Scan vs Phone Photo vs Draw

The quality of the final stamp depends almost entirely on the capture. Start with a good original.

Prepare the signature:

  • Use plain white, unlined paper. Lines and grid patterns are hard to remove later.
  • Sign with a black felt-tip or gel pen (0.7–1.0 mm). Ballpoint lines are thin and uneven; fountain pens can bleed.
  • Sign at your normal size and speed. A slow, careful signature looks traced.
  • Sign 5–10 times and pick the most typical one.

Then capture it with one of three methods:

Method Quality Tips
Flatbed scanner Best Scan at 600 DPI in grayscale. No shadows, perfectly flat, even background.
Phone photo Good Daylight near a window, no flash, phone parallel to the paper. Use a document-scanner app (Notes on iPhone, Google Drive scan on Android) to auto-crop and flatten.
Draw on screen Variable Stylus on a tablet works well. A mouse or trackpad rarely looks natural; most people’s on-screen signature looks nothing like their paper one.

If you’d rather not use your real handwriting at all, a typed signature in a script font is an option for low-stakes documents. The Stamp Studio includes signature fonts such as Alex Brush and Satisfy for exactly this.

Clean-Up: Background Removal & Transparent PNG

A signature photo still has a white or grey paper background. If you place it on a document like that, you get an obvious white box over the text. You need a transparent PNG: the ink stays, the paper disappears.

1. Crop tightly. Leave only a few millimeters of margin around the signature.

2. Boost contrast. Push the background to pure white and the ink to dark. In most editors, use Levels or Curves: drag the white point left until the paper is fully white.

3. Remove the white background. Pick whichever tool you already have:

Tool How
Mac Preview (free) Tools → Show Markup Toolbar → Instant Alpha (magic wand). Click and drag on the white area, press Delete. Export as PNG.
GIMP (free) Colors → Color to Alpha, pick white. This keeps soft, anti-aliased edges instead of jagged ones. Export as PNG.
Photoshop Select → Color Range (white) → Delete, or set the layer blend mode and use Blend If. Export as PNG.
Microsoft Word / PowerPoint Picture Format → Color → Set Transparent Color, click the background. Works for quick jobs; edges are rougher.

4. Recolor (optional). Signatures in dark blue look “original” to many readers, while black photocopies better. You can also match your stamp’s ink color.

5. Save as PNG, never JPG. JPG cannot store transparency and will put the white box straight back. Export at about 1200 px wide, which gives roughly 600 DPI at a 50 mm print width.

Pro Tip: Check the result on a dark background before you use it. Any leftover grey halo or paper speckles show up immediately against black and will look dirty on a coloured letterhead.

Make the Signature Stamp in the Stamp Studio

Once you have a clean transparent PNG, you can turn it into a finished stamp.

  1. Open the Stamp Studio. Start blank for a signature-only stamp, or pick a seal from the Business & Corporate templates if you want to combine it.
  2. Upload the signature. In the left sidebar, use Custom Logo and select your PNG (SVG and JPG also work, but only PNG and SVG keep transparency).
  3. Size and position it. In the right-hand panel, adjust the image Width, Height, X and Y offset, and Rotation. A slight upward angle (2–5°) looks natural.
  4. Add context lines (optional). Text layers such as the signer’s name, title, or “Authorised Signatory” make the stamp more useful on business documents. A date badge adds the signing date.
  5. Export. Choose a transparent PNG at 4x Print or 6x Ultra, or SVG if you plan to order a physical rubber stamp. Our SVG vs PNG vs PDF guide explains the difference.

Your design and image stay in your browser. Nothing is uploaded to a server.

Combining a Signature with a Company Seal

In India, Indonesia, Russia, the Gulf, and much of Africa, business documents are expected to carry both the signature of an authorised person and the company seal, with the seal often placed partly over the signature. You can build that combination once and reuse it.

Layout options:

  • Signature over seal: a 40 mm round seal with the signature running across its center or lower half. This mimics the way people physically stamp over their signature.
  • Signature beside seal: the seal on the left, signature and “Authorised Signatory” text on the right, in a wide rectangular layout (about 75 × 38 mm).
  • “For Company” block: “For [Company Name] Pvt. Ltd.” above, the signature in the middle, “Authorised Signatory” below. This is the standard Indian format.

Design rules that keep it legible:

  • Keep the signature slightly wider than the seal (around 50 mm vs a 40 mm seal) so it reads as a signature, not a logo.
  • Use different visual weight: a solid dark signature over a lighter or thinner seal outline, so both stay readable.
  • Make sure the seal’s legal name and registration number aren’t covered by the heaviest strokes.

For what the seal itself should contain, see the company stamp format guide and the company stamp sizes by country reference.

Responsible use: Only combine your signature with the seal of a company you’re authorised to sign for. A combined signature-and-seal image carries more weight than either alone, so it deserves more protection, not less.

Placing It on PDFs and Word Documents

  • PDFs: open the file in our PDF & Word Stamper, place the stamp, resize, and download. The PDF is processed entirely in your browser. See how to stamp and sign a PDF in your browser for details.
  • Word (.docx): use the same stamper, or insert the PNG manually and set wrapping to In Front of Text. Our transparent stamp in Word guide shows both methods and how to avoid the white box problem.
  • Flatten before sending. A PDF where the signature is a separate, movable object is easy for someone else to lift. Printing to PDF or exporting a flattened copy makes casual copying harder (though not impossible).

Security Risks & Controls

A digital signature stamp is a picture. Anyone who gets the file can paste it onto any document. That’s the trade-off for convenience, so treat the file like a key.

The risks:

  • Copying: your signature image can be lifted from any PDF you send and pasted elsewhere.
  • Unauthorised use: a colleague with access to a shared folder applies your signature without asking.
  • Repudiation, in reverse: if a dispute arises, you may struggle to prove you didn’t sign something, because the image looks identical every time.

The controls:

  1. Store the PNG privately. Not on a shared drive, not in a team chat, not as an email attachment. A password manager or encrypted folder is ideal.
  2. Don’t delegate the file. If an assistant signs on your behalf, put that authority in writing and keep a log of what was signed.
  3. Add a date badge or reference. A signature stamp tied to a date and document number is harder to reuse convincingly.
  4. Use different stamps for different purposes. Keep a lower-resolution version for routine internal use and protect the high-resolution one.
  5. Add a cryptographic signature on high-value documents. Place the visual stamp, then sign the PDF with a certificate (Adobe Acrobat, DocuSign, or your national e-ID). If anyone changes the file afterwards, the signature breaks.
  6. Rotate if compromised. If you believe your signature image has been misused, tell your bank and key counterparties, and create a new signature sample.

Final Thoughts

A signature stamp saves real time on routine documents, and the digital version is free to make: sign in dark ink on white paper, scan or photograph it, remove the background, save it as a transparent PNG, and place it on your PDFs and Word files. Know where stamps are not accepted (medical records, controlled-substance prescriptions, notarial acts, wills, and anything that asks for an original signature), and protect the image like you would a house key.

Frequently Asked Questions

Common Questions About Digital Stamps

Is a signature stamp legally valid?

Often, yes. In the US and many common-law countries, a signature can be any mark a person adopts with the intent to sign, so a facsimile stamp you authorised and applied yourself (or had applied on your instruction) generally counts. There are important exceptions: Medicare medical records, prescriptions for controlled substances, many notarial acts, wills, and some court and tax filings require a handwritten or certified electronic signature. Check the rules for the specific document before relying on a stamp.

How do I make my signature transparent?

Sign in black or dark blue ink on plain white paper, scan or photograph it in even light, then remove the white background. On a Mac use Preview's Instant Alpha; in GIMP use Colors → Color to Alpha with white; in Word use Picture Format → Color → Set Transparent Color. Save the result as a PNG, because JPG cannot store transparency.

Can I combine my signature and company seal in one stamp?

Yes. In the Stamp Studio, build or load a round company seal, then upload your transparent signature PNG through Custom Logo and position it across the center or lower half of the seal. Export as a transparent PNG and place it with the PDF & Word Stamper. Only do this for a company you are authorised to sign for.

What size should a signature stamp be?

Most handwritten signatures are about 40–60 mm wide and 15–25 mm tall. A signature stamp of around 50 × 20 mm looks natural on A4 and US Letter documents. When combined with a 40 mm round seal, keep the signature slightly wider than the seal so it reads as a signature, not a logo.

Is a signature stamp the same as a digital signature?

No. A signature stamp is an image of your signature. A digital signature is a cryptographic certificate attached to the file that proves who signed it and that nothing changed afterwards. An image can be copied; a digital signature cannot be moved to another document without breaking. For high-value contracts, use both.
