Every cash counter has the same moment: money changes hands, and the paperwork has to show it. A customer wants proof they paid. The business wants proof of who took the money and when. A cashier stamp handles both in a single mark, turning an unpaid bill into a closed, traceable record.
This guide covers what a cashier stamp actually proves, the common variants (PAID, CASH RECEIVED, PAID BY CHEQUE, PAID BY CARD), which fields to include, the colors and layouts that survive photocopiers and scanners, and how to stamp PDF invoices as paid in your browser using our free Stamp Studio and PDF & Word Stamper.
Not accounting or legal advice: Receipt and cash-handling rules differ by country, industry, and tax authority. Confirm your obligations with your accountant.
What a Cashier Stamp Proves (Payment Accepted, By Whom, When)
A cashier stamp answers three questions about a document:
- Was it paid? The status word (PAID, CASH RECEIVED) closes the bill visibly, so it doesn’t get paid twice or chased again.
- Who accepted the payment? A cashier ID, counter number, or initials ties the transaction to a specific person. That’s the first thing a manager checks when the till is short at closing.
- When? The date (and on busy counters, the time) places the payment in the right shift, day, and accounting period.
Leave any of these out and the stamp is weaker. A bare “PAID” mark with no date or name says someone thought the bill was paid at some point. That’s fine for a home filing system but not much use when a customer disputes a charge or an auditor samples your cash book.
Where you’ll see cashier stamps:
- Retail and wholesale counters: on handwritten bills, cash memos, and customer copies of invoices.
- School and college fee offices: on fee challans and receipts.
- Clinics and hospitals: on OPD bills, lab invoices, and deposit receipts.
- Landlords and property managers: on rent receipts and rent books.
- Utility and municipal counters: on bill stubs paid in person.
Bank tellers use a close cousin: the round teller stamp that verifies deposits and withdrawals. Our bank teller stamp guide covers that format.
Common Variants: PAID, CASH RECEIVED, PAID BY CHEQUE, PAID BY CARD, CASHIER
Most counters need two or three of these. Pick wording your customers and accountant will read the same way.
| Stamp | When to use it | Typical extra field |
|---|---|---|
| PAID | General “settled” mark on any bill or invoice | Date, cashier initials |
| PAID IN FULL | Invoice is completely settled, no balance owed | Date, receipt no. |
| CASH RECEIVED | Payment taken in cash at the counter | Amount, cashier ID |
| PAID BY CHEQUE | Payment by cheque; may still need to clear | Cheque no., bank, date |
| PAID BY CARD | Card or POS payment | Last 4 digits or POS slip no. |
| PAID BY TRANSFER / UPI | Bank transfer, UPI, or wallet payment | Transaction / UTR reference |
| PART PAID / DEPOSIT RECEIVED | Instalment or advance taken | Amount paid, balance due |
| CASHIER # / COUNTER # | Identifies the till on a multi-counter site | Counter or cashier number |
A note on cheques: a cheque can bounce. Many businesses stamp “RECEIVED BY CHEQUE, SUBJECT TO REALISATION” (common in India and the UK) rather than PAID, and only apply a PAID mark once funds clear.
If you also need APPROVED, VOID, or DUPLICATE marks for accounts payable, see our APPROVED & PAID invoice stamp guide.
Fields to Include: Date, Cashier ID, Amount Line, Receipt No.
A practical rectangular cashier stamp looks like this:
CASH RECEIVED
GREENLEAF STORES
Date: ____ / ____ / ______ Rs/$ ____________
Receipt No.: ________ Cashier: ________
Core fields
| Field | Why it matters | Design tip |
|---|---|---|
| Status word | Shows the bill is settled at a glance | Largest, boldest line. All caps. |
| Business name | Identifies who took the money | Registered trading name; add the branch on multi-site businesses. |
| Date | Places the payment in the right shift and period | Blank line for rubber stamps, or a self-inking dater with a date band. |
| Amount | Records what was actually received | Leave 25–30 mm of writing space. Essential for part payments. |
| Receipt / Txn No. | Links the stamp to the cash book or POS record | This is what makes the stamp checkable. |
| Cashier ID / initials | Assigns responsibility | Use an ID number on large counters; initials on small ones. |
Optional fields
- Payment method checkboxes: ☐ Cash ☐ Cheque ☐ Card ☐ Transfer. One stamp then covers every payment type.
- Time: useful on counters that run multiple shifts a day.
- Tax ID (GSTIN, VAT no.): if the stamp sometimes goes on documents that act as tax invoices.
- “Balance Due” line: for deposits and instalment plans.
Don’t overload it. Six lines is usually the limit before text drops below a readable size on a 60 × 40 mm stamp. If you need more, split it into a status stamp and a separate business name stamp.
Colors & Layouts That Scan Well
A cashier stamp gets photographed by customers, photocopied for files, and scanned into accounting software. Design for the worst copy, not the original.
Color conventions
- Red: the classic PAID color. Very visible on black-printed invoices, though it can fade to light grey on some black-and-white scans.
- Green or blue: popular for PAID / CASH RECEIVED when red is already used for OVERDUE, REJECTED, or VOID. Blue also makes it easy to tell an original from a photocopy.
- Black: the safest choice when stamps will mainly be faxed or photocopied in mono, but it can blend into the document’s own text.
Whichever you choose, use one color per status across the whole business. If PAID is green at the front desk and red in the back office, nobody can trust the color.
Layouts
| Layout | Size | Best for |
|---|---|---|
| Compact rectangle | 38 × 14 mm | Just “PAID” + date; fits small thermal receipts |
| Standard rectangle | 58 × 22 mm | Status, business name, date, cashier |
| Full cashier block | 60 × 40 mm | All fields including amount and receipt no. |
| Round PAID seal | 38–42 mm | Decorative or branded; less room for handwriting |
Rectangles win for cashier stamps because handwritten fields (amount, receipt number) need straight lines to write on. Keep the smallest text at about 2 mm cap height and line weights at 0.3 mm or thicker so nothing disappears in a scan. Our standard rubber stamp sizes guide has more sizing detail.
Placement: stamp near the total, not over it. The amount, invoice number, and customer name must remain readable after stamping.
Digital Receipts: Stamping PDF Invoices as Paid
More and more receipts never touch paper. If you email invoices as PDFs, a digital PAID stamp does the same job as the rubber one:
- Design the stamp. Open the Status & Office templates and start from the PAID IN FULL Invoice Stamp, which already has a payment date badge and a payment method / cheque number line. For a round, bank-style design, the Bank & Financial templates include a teller transaction stamp you can reword as CASH RECEIVED.
- Customize the fields. Add your business name, set the date (use Set Today for a dated digital stamp), and put the receipt or transaction reference in the method line.
- Export a transparent PNG. Free, with no watermark. Export an SVG as well if you also want a physical rubber stamp made from the same design.
- Apply it to the PDF. Open the invoice in the PDF & Word Stamper, place the stamp near the total, and apply it to one page, a range, or every page in the file.
- Save and send. Everything runs in your browser, so customer invoices are never uploaded to a server.
For a single document this takes under a minute. For month-end batches, design one stamp per status and reuse it on every file. Our stamp and sign PDF in browser guide covers flattening, so the stamp can’t be moved or deleted from the file.
Pro Tip: For a digital PAID stamp, put the real payment reference (UTR, transaction ID, or receipt number) into the stamp before exporting. A digital stamp with a checkable reference is far more useful than a generic “PAID” image reused on every invoice.
Final Thoughts
A cashier stamp is one of the simplest controls a business can have. A clear status word, the date, the amount, a receipt number, and the cashier’s ID turn every settled bill into a record you can trace. Keep the layout simple, choose one color per status, and match the stamp to your real records.
